T&C / Cancellation / Refund Policy
The following terms govern the participation in the 36th International Geological Congress:
Insurance: Registration fees do not include personal, travel or medical insurance of any kind. Delegates are advised to make their own insurance arrangements to cover risks including (but not limited to) loss, cancellation, medical costs and injury. No responsibility will be accepted by the Congress, the host organization and/or the Congress manager for any delegate failing to insure and/or any injury or loss.
Currency and tax: All fees and costs as quoted are payable in US Dollars (US$) or Indian Rupees (INR) only and are inclusive of all taxes as applicable under the laws of India.
All discounted registration fees like Super Early Bird, Early Bird etc. are applicable within the defined time window in order to qualify for the rate.
Full payment of registration fees must accompany your registration in order to receive confirmation for participation. Registration cannot be confirmed without full payment.
Registered delegates: Each person attending the Congress must complete a registration form in his/her name and officially register as a delegate.
Delegate registration fees include:
Morning & afternoon refreshments
Lunch during the Congress
A Ticket (one person) to the welcome reception
Congress materials including Program & Abstracts (in a pen drive)
The Accompanying Persons registration fee is available only to partners and/or family members of a paid up delegate registered as a Full, YES or Student delegate to attend the Congress. The Accompanying Persons programme tours are subject to minimum numbers.
The program includes the following:
1. Access to spouse lounge with tea, coffee and water
2. Access to opening & closing ceremony
3. Access to social events
4. Walking tour/half day shopping tour
5. Day tours and trip to Taj Mahal (To be purchased)
Cancellation policy: Cancellation of registration must be notified in writing. Cancellations received up to and including 45 (forty five) days prior to commencement of the Congress will be refunded less a Cancellation fee of USD 150. No refund of registration fees will be possible for cancellations notified less than 45 (forty five) days in advance of the Congress. Failure to obtain a visa is not ground for a refund of registration fees.
Substitutions: In the event a registered delegate cannot attend, a substitute delegate may be nominated by him/her up to 30 (thirty) days prior to commencement of the Congress at no additional charge.
Thereafter, substitutions are subject to availability and an additional processing fee of USD 75 per substitution shall apply.
Social events: Tickets to all social events are non-refundable. Minimum numbers may be required in order for some social events to proceed and may be cancelled by the Congress managers if these numbers are not achieved. However, should an event be cancelled by the Congress managers, a refund will be provided to the value of the ticket price paid.
Accommodation and cancellation of accommodation reservations: The organizers make no warranties as to the accommodation providers described in Congress promotional material. It is the responsibility of the participants/ delegates to review the accommodation provider/s and to ensure that any accommodation selected is appropriate for their needs. Participants can also avail the facility of group booking in the hotels. Penalties for cancellations and non-arrival differ at the various hotels, but typically, cancellations received less than 30 (thirty) days in advance of arrival will incur a fee of one night’s room rate. Cancellations received less than 7 (seven) days prior to arrival are likely to be charged a penalty equal to the full value of the original reservation. Similar penalties apply in the event of no show/failure to arrive.
Communication: All communication regarding the Congress will be directed only to the person or persons named on the delegate registration form. All written communication (such as but not limited to confirmation letter and tax invoice) will be sent by email, in accordance with our sustainability policy.
Copies of confirmations, tax invoice and other Congress related communication cannot be sent to any other person.
